This “Agreement” represents the entire contract between you and the Greek Online School LTD. By visiting or becoming a customer of The Greek Online School you agree to be bound by the terms and conditions of use set out below.

Acceptance

By using services provided by The Greek Online School, you agree to be bound by this Agreement and the Terms, whether you simply browse the The Greek Online School website or you are a customer (which means that you have registered with The Greek Online School). The term “we” refers to The Greek Online School. The term “Material” refers to all class materials used in our classes. If you do not agree with all the Terms, do not use the Site.

Before you continue, you should print or save a local copy of this Agreement for your records.

Changes to these Terms

The Greek Online School has the right to modify this Agreement and any policies affecting the The Greek Online School Site. If you continue visiting or accepting services from The Greek Online School means that you agree with the Terms and Conditions of The Greek Online School.

Provision of the Services

We reserve the right to monitor the Services for purposes of determining that their usage comply with the Terms of The Greek Online School. In addition, we maintain an absolute right to review and remove Material transmitted through The Greek Online School that we believe is in violation of the law of these Terms. From time to time and without prior notice to you, we may change, expand and improve The Greek Online School Site and Services.

Rights of access

The Greek Online School offers you the right to access, use and display the content of this Site, provided that you comply with the The Greek Online School T&C. The materials of this Site are provided to you only for your private, non-commercial use. Certain services materials of The Greek Online School are available only to registered students of The Greek Online School.

Use of the Service

Your right to access and use The Greek Online School is personal to you and is not transferable by you to any other person. Your access and use of external applications related to The Greek Online School may be interrupted from time to time due to malfunction of equipment, updating, maintenance or repair. The Greek Online School has no responsibility for malfunction caused by external applications.

The Greek Online School has no responsibility for any malfunction of any Teleconference Platforms used to perform our lessons. When and if the Teleconference Platforms are not operating properly, we will conduct the lessons via an alternative.

Intellectual Property Rights

All materials of The Greek Online School, including content, text, images, software, audio and video files, documentation remain at all time property of The Greek Online School or its suppliers. You may not post, distribute, translate or reproduce in any way any materials without the prior written consent of The Greek Online School.

Data Protection

The protection of personal data is a great concern of our company. We would like you to know when and what data we save and how we use them. When we edit and process personal data we observe the requirements of the EU General Data Protection Regulations (GDPR), the UK GDPR and Data Protection Act 2018. The collection of your personal data helps us to provide you with the services and advice which you require. By using our website, you consent to the use of your data. When registering, your consent is obtained and you are advised of our Privacy Policy. Your details are not shared with third parties and we do not share this information without your permission. The obligatory information required for receiving our services is your email address. Processing your access data is also necessary to show proof of your giving your consent. Other information may be voluntarily provided in order to address you personally. Processing the information entered by you in the trial lesson form or contact form is necessary for our services. The legal basis for this is your consent pursuant to Art. 6(1)(a) GDPR. Your data will be stored by us for as long as necessary to fulfill your registration. In addition, we store this data for the fulfillment of our obligations and due to commercial and tax retention periods for the statutory period. This retention period is usually 10 years at the end of the respective calendar year. You can revoke your consent at any time by sending an email. Your data is then deleted, or provided that it is necessary for billing and accounting purposes, blocked accordingly.

A.I. Policy

At The Greek Online School, we are committed to providing high-quality, innovative, and engaging education for students of all ages. As part of this mission, we responsibly integrate Artificial Intelligence (AI) technologies into various aspects of our teaching, content creation, and classroom support.

This policy outlines how AI is used in our educational environment and provides clear guidance to students, parents, guardians, and staff.

Educational Use of A.I.

AI technologies are used at The Greek Online School solely for educational purposes and to enhance—not replace—human instruction. All AI tools are used under the supervision of qualified educators, who ensure that the tools are used appropriately, ethically, and effectively. Use cases may include:

  • Assisting teachers in the creation of personalized learning materials.
  • Generating language practice prompts, reading texts, or assessments.
  • Supporting students with writing, comprehension, or vocabulary exercises.
  • Providing feedback or suggestions to improve written or spoken language tasks.

  • Presented as educational aids, not as decision-makers.

  • For students under 18, all AI use is closely monitored by the teaching staff.

Data Protection and Privacy

We value and protect the privacy of all our students. When AI tools are used:

  • No personally identifiable information (PII) is shared with external platforms.
  • All AI systems in use are reviewed for compliance with data protection laws such as the General Data Protection Regulation (GDPR).
  • We do not allow AI tools to collect or store student data beyond what is necessary for educational functionality.

Teacher Use of AI

All outputs are reviewed by educators before being presented to students. Teachers at The Greek Online School may use AI tools to:

  • Draft lesson plans or creative exercises.
  • Translate or adapt material to different learning levels.
  • Automate repetitive tasks (e.g., quiz generation or summarizing text).

Parental Awareness & Consent

By enrolling in The Greek Online School, parents/guardians of minors and adult students acknowledge that:

  • AI tools may be used during lessons and in the preparation of educational content.
  • The school takes all reasonable steps to ensure that such tools are used safely, ethically, and with full respect for student privacy.
  • Parents may contact the school at any time to request more information or clarification about the specific AI tools used.

Ongoing Review

As technology evolves, so will this policy. The Greek Online School regularly reviews its use of AI tools and educational platforms to ensure they meet the highest standards of safety, pedagogical value, and compliance.

Privacy & Security Policy

Any personal information or other information about you collected by The Greek Online School through, or in connection with, The Greek Online School is subject to our Privacy and Security Policy. We do not knowingly collect identifying information from anyone under the age of 13 unless we first obtain permission from that child’s parent or legal guardian.

Lesson Recordings, Photos and Videos

Teaching Evaluation
The Greek Online School may occasionally record lessons for internal teaching evaluation, with prior written consent from adult students or a parent/legal guardian of students under 18. Recordings include audio and video, are stored on BigBlueButton (BBB), and are accessible only to the class teacher and designated senior academic staff. They are deleted within 60 days and are not shared with other students, published or used for promotion. Consent is separate from acceptance of these Terms and may be declined or withdrawn by emailing info@thegreekonlineschool.com without affecting lesson attendance. Upon withdrawal, recordings held on the basis of consent will be deleted unless retention is legally required.

Student Absences
Group lessons may be recorded so that absent students can catch up. These recordings are stored on BigBlueButton (BBB) for the duration of 30 days, after which they are deleted. Access is restricted to authorised school staff and students enrolled in the class. Recordings must not be copied, published or shared with others.

Promotional Use
Students’ images, videos, voices or creative work may be used for promotion only with separate written consent from the adult student or a parent/legal guardian of a minor. Names will not be published without permission. Consent may be withdrawn by emailing info@thegreekonlineschool.com. We will stop future use and remove material from channels under our control, although previously distributed printed materials and copies shared by others may not be recoverable.

Testimonials

The Greek Online School posts customer testimonials which may contain personally identifiable information. We do obtain the customer’s consent via email prior to posting the testimonial to post their name along with their testimonial. If you wish to request to have your testimonial removed please contact The Greek Online School.

Chats and email

The Greek Online School offers users the option to post messages, use chat rooms, and find learning resources.  Users are solely responsible for the content of these messages. In addition, by using the services of The Greek Online School, you agree to not publish, contribute or post any material that contains content which is not original or for which you have not received written consent or contains objectionable language. Messages and posts by users at The Greek Online School are not representative of the views of The Greek Online School or its employees and partners.

Free trial

The free trial is available only to first-time users.

Fees, Payment Currency Options and Currency Rate Calculation Policy

At The Greek Online School we are committed to equal opportunities for everyone, ensuring it is accessible to all families, whilst providing high quality education. Whilst we aim to keep fees as competitive as possible, we carry out a review of our charges on an annual basis. Should it be necessary to increase the fees, you will be given the minimum of one month’s notice. We recognise that families have differing needs & therefore endeavour to meet the individual needs of all families.

All enrolled students shall have the privilege to make payments in a currency of their choosing, with the following currency options available: Euro (EUR), United States Dollar (USD), and British Pound (GBP). Calculation fees, charges, and currency rates for all financial transactions, including tuition fees, shall be calculated with reference to the British Pound (GBP) as the base currency. Currency rates shall be determined in accordance with prevailing market rates and financial regulations at the time of the transaction. Any fees or commissions associated with currency conversion shall be borne by the client.

    • Parents/students are notified of the required fees by means of an invoice.
    • Fees can be paid by credit, debit card, PayPal account or e-banking.
    • We request 2 week’s notice before withdrawing your child. If notice is not given, we reserve the right to charge for this period.
    • Fees need to be paid by the due date as shown on the invoice.
    • Discounted lesson packages of 10, 20, and 40 sessions, full course need to be paid in advance.
    • Failure to complete payment by the due date will result in The Greek Online School pausing your lessons until fees are paid.
    • There are NO refunds/make-up lessons on unused lessons or lessons cancelled with less than 24 hours notice.
    • Lessons cannot be transferred to another student.
    • If you pay via E-Banking, please send us a receipt of the transaction, as overseas transactions might take 2-3 days or more to be fully processed.
    • The Greek Online School guarantees that every credit & debit card transaction you make at The Greek Online School is 100% secure.
    • Course fees are recurring and non-refundable after your purchase.
    • Should you choose to take a break, unused lessons can be banked for you for a period of 6 months. Unused lessons after that time will be considered as forfeited.
    • Lesson credits cannot be transferred to another student.

If you possess advance knowledge of dates on which you or your child will be unavailable to attend a lesson, kindly inform us at the time of booking and enrollment.

Class Details and Teacher Assignments

The class details and teacher assignments provided at the time of enrollment are subject to change by The Greek Online School at its discretion. While every effort will be made to maintain the original class structure and teacher, the school reserves the right to make changes for the benefit of all students. Such changes may include but are not limited to reassignment to a different teacher or modification of class schedules. The Greek Online School will communicate any such changes to enrolled students or their legal guardians as promptly as possible. Enrolled students and their legal guardians agree to accept any necessary changes to class details and teacher assignments made by The Greek Online School.

Lesson duration

Starting October 1st 2023, the duration of all instructional sessions shall be modified from 60 to 55 minutes, with the intent of affording our educators a 5-minute interval prior to the commencement of their subsequent instructional session. This brief interlude shall secure a smooth transition from one session to the other and facilitate preparation of all scholastic assignments and materials pertinent to the ensuing session of the students.

All instructional sessions that are longer than 60 minutes , shall incorporate a mandatory recess of five minutes.

Course Changes

Any change to a student’s course, program, or learning pathway must be discussed and agreed in advance with The Greek Online School. Course changes are subject to the school’s review and approval, taking into account the student’s level, learning goals, teacher availability, class availability, and overall suitability.

Requests to change to an exam preparation course are assessed with particular care, as such courses require specific planning, appropriate timing, and confirmation that the student meets the necessary level and preparation requirements. The Greek Online School reserves the right to approve, decline, or suggest an alternative course option where this is considered to be in the student’s best educational interest.

Packages

The 10 session-package includes a 5% discount of full course fees. The 20 session- package includes a 10% discount of full course fees. The 40 session-package includes a 20% discount of full course fees. All discounted packages are paid in advance.

Per hour

Students paying per session need to complete the payment after the completion of each class or by the due date. Failure to complete payment by the due date will result in The Greek Online School pausing your lessons until fees are paid.

Cancellation Policy

When Your Teacher Cancels

If your instructor is unable to deliver a scheduled lesson, The Greek Online School LTD will make every reasonable effort to arrange a substitute instructor, particularly for group classes, so that the lesson can take place as scheduled.

If a substitute instructor cannot be arranged for a private or semi-private lesson, the lesson will be postponed and rescheduled at a mutually convenient time. Every effort will be made to schedule the make-up lesson within one (1) calendar month of the original lesson, subject to availability.

In the event of a last-minute instructor cancellation (less than twenty-four (24) hours before the scheduled lesson), the lesson will be rescheduled free of charge. Students will not be charged for any lesson cancelled by the instructor.

Semi-Private Classes

Semi-private classes are small-group lessons consisting of 2 or 3 students. They provide a more interactive and social learning experience than private lessons while still allowing for a high level of individual attention.

The Greek Online School offers two types of semi-private classes: School -Created Semi Private Classes and Student-Created Semi Private Classes.

School-created semi-private classes are formed and managed by The Greek Online School. These classes are created when:

  • A student requests to be paired with a suitable classmate; or
  • The school identifies that a student would be a suitable match for another student based on their profile and learning needs, or with another class of 2.

Matching Criteria

Students are matched by The Greek Online School based on a range of factors, including language level, age, learning goals, availability, and overall suitability. This matching process helps ensure that all participants can progress effectively and enjoy a positive learning experience. The final decision regarding student placement rests with The Greek Online School.

Class Structure

  • Consists of 2 or 3 students.
  • May begin with 2 students and later accept a third suitable student, where appropriate.
  • It is organized and managed by The Greek Online School.
  • It may begin at different points throughout the year, subject to teacher availability.
  • Follows a schedule agreed upon by the school, the teacher, and the participating students based on mutual availability.

Schedule and Attendance

To ensure continuity and consistency for all participants:

  • Classes take place on a fixed weekly day and time.
  • Students are expected to attend lessons according to the agreed schedule.
  • Once a semi-private class has commenced, the lesson day and time are considered fixed for the duration of the course, either 20 or 40 sessions/lessons.
  • Requests to change the lesson schedule cannot be accepted.
  • Any approved changes remain subject to the availability of the teacher, the other student(s), and the school’s operational requirements.

Enrollment Requirements

Students enrolling in a school-created semi-private class are required to:

  • Understand that their participation affects not only their own learning progress but also the learning experience of the other students in the class.
  • Accept that semi-private classes are based on a shared commitment from all participants and require regular attendance and schedule stability.
  • Commit to 20 lesson hours.

Commitment to the Group

By joining a school-created semi-private class, students commit to the agreed lesson schedule and acknowledge that the success of the class depends on the regular participation of all members.

School-created semi-private classes are designed around the availability and commitment of all students within the group. Unlike private lessons, semi-private classes involve multiple students whose learning schedules are interconnected. Requests to change the lesson time after a class has commenced can significantly affect other students and cannot be accepted.

For this reason, students should view enrolment in a school-created semi-private class as a commitment not only to their own learning but also to their classmates and teacher. The fixed lesson day and time are designed to protect the continuity of the group, maintain a high-quality learning experience, and respect the reserved teaching hours allocated to the class.

The withdrawal of a student or a request to change the agreed schedule may affect the learning arrangements of the entire group. Students are therefore expected to consider this responsibility carefully before enrolling.

Fees and Refunds

All school-created semi-private class packages are non-refundable once enrolment has been completed.

Should a student choose to withdraw from the class, request a different schedule, or no longer be able to attend the agreed lesson time, the school cannot guarantee a refund of any unused lessons.

If a student wishes to continue lessons under a different arrangement, including private tuition or a different class schedule, any alternative arrangement will be subject to availability and the school’s current pricing policies. A new lesson package may be required.

School Rights and Discretion

The Greek Online School reserves the right to make decisions regarding class composition, student placement, scheduling, and the addition of new students to existing semi-private classes where necessary to ensure the effective operation and educational quality of its programmes.

Student-created semi-private classes are arranged when students already know each other and wish to learn together. This may include siblings, family members, friends, colleagues. These classes are created when:

  • Two or three students enroll together as an existing group; or
  • A family, group of friends, colleagues, or students from another school wish to study together.

Matching criteria 

Although the group is formed by the students themselves, The Greek Online School must ensure that all participants are suitable for learning together. The school may review factors including language level, age, learning goals, and overall compatibility to support an effective and positive learning environment. The final decision regarding participation in a student-created semi-private class rests with The Greek Online School.

  • Is formed by the students themselves rather than by the school.
  • May begin at different points throughout the year, subject to teacher availability.
  • Follows a schedule agreed upon by the school, the teacher, and the participating students based on mutual availability.

Students enrolling in a student-created semi-private class are required to:

  • Understand that their participation affects not only their own learning progress but also the learning experience of the other students in the class.

  • Purchase any semi-private lesson package offered by The Greek Online School.

Commitment to the Group

The agreed lesson day and time are designed to maintain continuity, support effective learning, and ensure the efficient allocation of teaching resources.

The withdrawal of a student may affect the learning arrangements of the entire group. Students are therefore expected to consider this responsibility carefully before enrolling.

Fees and Refunds

Student-created semi-private classes may be purchased using any semi-private lesson package offered by The Greek Online School.

All lesson packages are subject to the school’s Terms and Conditions and refund policy in force at the time of enrolment.

Should a student choose to withdraw from the class, any remaining students may continue lessons under the existing arrangement where possible. Alternative arrangements may be subject to availability and the school’s current pricing policies.

School Rights and Discretion

The Greek Online School reserves the right to make decisions regarding scheduling, teacher allocation, and the operation of student-created semi-private classes where necessary to ensure the effective operation and educational quality of its programs.

Group Classes

Group classes bring together four or more students to learn Greek with a teacher at a regular time. The Greek Online School offers two types: open groups, formed by the school with students of a similar age and level, and closed groups, formed by students who enroll together. Open groups have 4 to 8 students and follow a fixed schedule. Closed groups have at least 4 students, with the group size and schedule agreed in advance.

Open groups are created and managed by The Greek Online School. Students are placed according to factors such as Greek level and the availability of a suitable class. 

Class Structure

  • An open group has a minimum of 4 and a maximum of 8 students.
  • The course runs for nine months, with school holidays observed.
  • Students may join after the course has started if a suitable place is available. Recordings of earlier lessons are provided to help them catch up.

Schedule and Attendance

  • Lessons take place on a fixed weekly day and time.
  • Group lessons cannot be cancelled, rescheduled or made up because an individual student is absent.
  • If a student misses a lesson, the class proceeds as scheduled and the recording is available to the absent student.
  • A missed lesson does not entitle the student to a refund, credit or alternative session.

Fees and Refunds

Group tuition is charged per student. Payment is made according to the option agreed at enrolment. If a student withdraws or can no longer attend the scheduled lessons, unused lessons are non-refundable.

Minimum Enrolment

An open group requires at least four students to begin. If fewer than four students have enrolled by the planned start date, The Greek Online School may postpone the start date to allow more students to join.

Alternatively, the school may offer the enrolled students the option to begin as a semi-private class of two or three students. The class structure, schedule and applicable tuition will be confirmed with the students before the semi-private class begins.

Closed groups are formed when at least four students who already know each other enroll together. This may include family members, friends or colleagues. The school reviews whether the students’ levels and learning goals are suitable for a shared class.

Class Structure

  • A closed group has at least 4 students. Its maximum size is agreed with the school before enrolment.
  • The course runs for nine months, with school holidays observed.
  • The weekly schedule is agreed with the group before lessons begin.
  • Other students may join only with the group’s agreement and the school’s approval.

Schedule and Attendance

  • Students are expected to attend at the agreed weekly time.
  • If one student is absent, the lesson proceeds as scheduled and the absent student receives the recording.
  • An individual absence does not entitle the student to a make-up lesson, refund, credit or alternative session.
  • A lesson may be rescheduled only if all group members agree in advance and the teacher and school can accommodate the change. The rescheduled lesson must take place within the same calendar month. Until a change is confirmed by the school, the original lesson time applies.

Fees and Refunds

Closed-group tuition is charged per student, based on the applicable semi-private rate with the agreed group discount. Payment is made according to the terms confirmed at enrolment.

If a student withdraws, unused lessons are non-refundable. The school will review whether the remaining students can continue as a group and whether a different class arrangement is needed. Any new arrangement is subject to availability and the school’s current pricing policies.
